Your Role at arenaflex

As a Remote Administrative Support Specialist/ Customer Service Representative, you'll be the face of arenaflex, working closely with clients to understand their needs and preferences. Your expertise will help us deliver personalized itineraries, surprise and delight our clients, and exceed their expectations. You'll be an integral part of our team, contributing to our company's mission and culture through your insights and contributions.

Key Responsibilities

* Deliver Exceptional Customer Service: Respond to client inquiries and requests promptly, ensuring that every interaction is positive and memorable.

  • Personalize Travel Experiences: Work closely with clients to create customized itineraries that meet their unique needs and preferences.
  • Manage Client Profiles and Bookings: Efficiently manage client profiles, bookings, and payments, ensuring that all details are accurate and up-to-date.
  • Coordinate Travel Arrangements: Handle flight changes, seat assignments, and concierge details such as spa, tour, and dinner reservations.
  • Communicate Effectively: Correspond with clients about their preferences, arrange surprises, welcome notes, and notify hotels of preferences before departure.
  • Prepare Client Documents and Travel Tips: Prepare client documents and travel tips, advising on what should be printed, and ensuring everything is ready 3 weeks before departure.
  • Assist with Internal Coordination: Assist with internal coordination and distribute necessary information to ensure seamless communication.
  • Manage Time Effectively: Set schedules and manage time effectively to meet deadlines and deliver results.
  • Serve as Backup Travel Support: Serve as backup travel support or the main point of contact during emergencies, even outside of normal office hours.
  • Continuously Grow and Improve: Continuously grow in your ability to implement tools that enhance our remote workplace culture.
