Education & Universities Administrative Assistant

We are a software company looking for a bright, organized, and driven Education & Universities Administrative Assistant to support our university clients, continuing education programs, and industry education initiatives. This role is ideal for someone who enjoys research, building systems and processes, coordinating across departments, and managing detailed administrative projects. The ideal candidate is highly organized, detail-oriented, and able to communicate professionally with universities, licensing boards, and industry organizations. Our company develops and sells high-end professional design software – specifically, add-on programs for AutoCAD, SketchUp, and Revit – to landscape architects, irrigation designers, architects, and engineers. We started as a father-son duo working out of a garage and now have the best-in-class software used by thousands of professionals in dozens of countries, served by a growing staff of more than 40 employees. We have listened to our employees following the pandemic, and all positions are permanently remote. We currently have staff scattered across twelve states, and have made permanent work-from-home status excel as we continue to create excellent software and offer unparalleled support. Essential Duties/Functions: University, Academic & Administrative Support: Serve as the primary point of contact for university students and educators. Maintain relationships with approximately 250 universities that have access to the company's software for educational use. Coordinate onboarding, account relations, renewals, and communication related to university software licensing. Maintain and organize internal university records in our internal admin system. Conduct research related to university programs, educational opportunities, and academic partnerships. Collaborate with marketing, website, account relations, and other internal teams to support university initiatives and educational outreach. Perform additional administrative duties and special projects as assigned. Continuing Education (CEU) Program Administration: Coordinate CEU programs for landscape architecture, irrigation, and related professional fields. Research and communicate with licensing boards, accreditation organizations, and professional associations across the United States and internationally. Prepare and submit webinar, training, and course materials for CEU approval and accreditation. Track approval requirements, deadlines, renewals, and compliance documentation for multiple licensing agencies and organizations. Maintain accurate records and systems related to CEU approvals and renewals. Assist with organizing educational webinars on our software. Trade Show & Industry Education Coordination: Coordinate continuing education and accreditation requirements related to trade shows and events. Work with internal departments and external organizations to ensure that educational sessions meet applicable CEU requirements. Assign with event-related administrative coordination, documentation, scheduling, and communication. Required Skills/Abilities: Professional communication skills when interacting with universities, licensing boards, and external organizations. Ability to organize, prioritize, and manage multiple tasks in a structured work environment. Strong research, documentation, and record-keeping abilities. Excellent written and verbal communication skills. Ability to follow established processes and maintain accurate records with excellent attention to detail. Ability to manage multiple tasks and priorities in a structured workflow. Ability to work both independently and collaboratively in a team environment. Proficiency in standard office software (e.g., Google Workspace). Ability to use internal systems to manage data and records, in accordance with company procedures. Ability to use software and A.I. tools effectively and appropriately to optimize productivity. Minimum Experience/Education: Minimum of 3–5 years of experience in administrative support, office administration, project coordination, education administration, or similar roles. Experience coordinating detailed administrative processes, research projects, or compliance-related work preferred. Relevant educational background (degree, certificate, or equivalent practical experience) preferred. Experience working with continuing education programs, accreditation processes, universities, or professional organizations is a plus. Physical & Work Environment Requirements: Applicants must reside in and be legally authorized to work in the United States. Remain in a stationary position for extended periods while working at a computer. Operate a computer and standard office equipment, including repetitive hand movements (e.g., typing, using a mouse, etc.). Read and interpret information from a computer screen for prolonged periods. Communicate effectively (orally and in writing) using phone, email, messaging, and video conferencing tools. Move within a workspace to access materials or equipment. Lift, carry, or move items weighing up to 20 pounds. (The company cannot speak to each individual’s home office setups, as they may vary based on their belongings.) Benefits and Other Position Information: Position Type: Full-time. This position offers a starting salary between $63,000 and $68,000 per year, depending on experience. Along with a competitive salary, we offer 401(k), dental, medical, life, and vision insurance, as well as vacation, sick, and holiday paid time off, in addition to a yearly bonus for qualifying full-time employees.
