Position Overview – Purchasing & Data Entry Specialist

arenaflex is seeking a detail‑oriented, proactive Purchasing & Data Entry Specialist to become an integral part of our dedicated procurement team. In this role, you will manage daily purchase orders, collaborate with project managers, and maintain accurate records that keep our supply chain running smoothly. Your ability to organize, communicate, and prioritize will directly impact the efficiency of our operations and the satisfaction of our clients.

Key Responsibilities

  • Generate, review, and enter purchase orders (POs) based on daily and monthly receipt requirements.
  • Collaborate with Project Managers to obtain updates on open requisitions and ensure timely fulfillment.
  • Coordinate with the Accounts Payable (A/P) department to address upcoming invoices and resolve discrepancies.
  • Communicate with vendors to request status updates, confirm delivery dates, and resolve any order‑related issues.
  • Maintain and update the Open Purchase Orders Report daily, providing clear visibility into order status for internal stakeholders.
  • Assign ownership of open purchase orders to appropriate team members, ensuring accountability and follow‑through.
  • Track and reconcile un‑vouchered receipts, ensuring all received items are properly accounted for in the system.
  • Prepare and distribute monthly purchasing reports to senior management, highlighting key metrics and trends.
  • Update and monitor the Purchasing and Open Requisition KPI Scorecard, identifying areas for process improvement.
  • Support the development and maintenance of the Execution Improvement Log, documenting corrective actions and outcomes.
  • Adhere to all safety regulations, OSHA standards, and company policies while performing duties in a safe and professional manner.

Essential Qualifications

  • Bachelor’s degree required; a four‑year college education is preferred.
  • 2–5 years of experience in purchasing, procurement, or related data entry functions.
  • Proficiency with Microsoft Excel (or equivalent spreadsheet software) and familiarity with ERP or purchasing systems.
  • Strong written and verbal communication skills, with the ability to build effective relationships with vendors and internal teams.
  • Excellent organizational, prioritization, and follow‑up abilities.
  • High level of self‑motivation, attention to detail, and a proactive problem‑solving mindset.
  • Must be at least 18 years of age and able to pass pre‑employment drug screening as required.

  • Experience in the construction or roofing industry, understanding of material specifications and lead times.
  • Knowledge of OSHA regulations and ability to work safely in a construction environment.
