Position Overview – Remote Data Entry Specialist

We are seeking a meticulous, organized, and self‑driven Remote Data Entry Specialist to join our growing data operations team. In this role, you will be the guardian of data integrity, responsible for entering, validating, and maintaining a wide variety of financial and operational data within our secure systems. Your work will directly support critical business processes, from transaction reconciliation to regulatory reporting, ensuring that the information that powers arenaflex is accurate, timely, and reliable.

Key Responsibilities

  • Enter high‑volume data from multiple sources (spreadsheets, PDFs, scanned documents, and web portals) with a focus on precision and speed.
  • Perform rigorous data verification checks, cross‑referencing entries against source documents to eliminate errors.
  • Maintain strict confidentiality and data security standards in accordance with industry regulations (PCI‑DSS, GDPR, etc.).
  • Collaborate closely with cross‑functional teams—including compliance, finance, and IT—to resolve data discrepancies and improve workflow efficiency.
  • Follow documented standard operating procedures (SOPs) and contribute to continuous‑improvement initiatives by suggesting enhancements to data entry processes.
  • Generate routine reports on data entry metrics (accuracy rates, turnaround times, backlog status) and present findings to supervisors.
  • Communicate proactively with internal stakeholders to clarify ambiguous data points and ensure completeness of records.
  • Utilize advanced features of Microsoft Office Suite (Excel formulas, pivot tables, macros) and specialized data entry tools to streamline tasks.
  • Adhere to service level agreements (SLAs) and meet daily, weekly, and monthly productivity targets while maintaining quality standards.
  • Participate in regular virtual training sessions, knowledge‑sharing forums, and quality‑assurance audits.

Essential Qualifications

  • Education: High school diploma or equivalent; additional coursework or certification in data management, business administration, or related fields is a plus.
  • Experience: Minimum 2 years of hands‑on data entry experience in a fast‑paced environment, preferably within financial services or a regulated industry.
  • Technical Proficiency: Demonstrated mastery of Microsoft Office Suite—especially Excel (VLOOKUP, conditional formatting, data validation) and Word. Familiarity with data‑entry platforms, CRM systems, or ERP software is advantageous.
  • Attention to Detail: Proven track record of delivering error‑free work, with an accuracy rate of 99% or higher.
  • Organizational Skills: Ability to prioritize multiple tasks, manage time effectively, and meet strict deadlines without sacrificing quality.
  • Communication: Strong written and verbal communication skills; capable of articulating data‑related issues clearly to diverse audiences.
  • Independence: Demonstrated success working remotely, with minimal supervision, while maintaining high levels of motivation and accountability.

Preferred Qualifications & Additional Skills

  • Experience with data‑cleaning tools (e.g., OpenRefine, Power Query) or scripting languages (Python, VBA) to automate repetitive tasks.
  • Knowledge of financial terminology, transaction types, and regulatory reporting requirements.
  • Previous exposure to secure data environments and familiarity with encryption, access controls, and audit trails.
  • Certification such as Certified Data Management Professional (CDMP) or similar credentials.
  • Demonstrated ability to adapt quickly to new software platforms and evolving business processes.

Core Competencies for Success

  • Accuracy & Quality Focus: Commitment to delivering flawless data entry work, recognizing that even minor errors can have significant downstream impacts.
  • Problem‑Solving Mindset: Ability to investigate data anomalies, identify root causes, and propose corrective actions.
  • Collaboration & Teamwork: Willingness to engage with remote colleagues, share insights, and contribute to a supportive virtual culture.
  • Adaptability: Comfort with shifting priorities, evolving SOPs, and new technology rollouts.
  • Ethical Integrity: Upholding the highest standards of confidentiality and data protection at all times.
