Our laboratories support physicians, hospitals, and community health centers across the region, delivering fast, accurate results that empower clinicians to make informed decisions. At arenaflex, we believe that every data point matters, and our mission is to ensure that each specimen is handled with precision, integrity, and respect.

Why This Role Matters

In the fast‑paced world of clinical diagnostics, the accuracy of data entry is the backbone of every downstream process—from specimen accessioning to final test reporting. As an Overnight Data Entry Specialist, you will be the guardian of that data, ensuring that patient, client, billing, and test information is captured flawlessly in our Laboratory Information System (LIS). Your work directly influences the quality of patient care, the efficiency of laboratory operations, and the reputation of arenaflex as a trusted partner in healthcare.

Key Responsibilities

  • Enter patient demographics, physician orders, billing codes, and test details into the LIS with a target speed of 8,000 keystrokes per hour while maintaining 99.9% accuracy.
  • Validate entered data against source documents, flagging any inconsistencies for immediate resolution.
  • Adhere to HIPAA regulations and internal compliance standards, safeguarding protected health information at all times.
  • Answer inbound client and provider calls, providing courteous assistance and directing inquiries to the appropriate department.
  • Cross‑train in specimen accessioning, accurately identifying, sorting, and labeling specimens for downstream testing.
  • Collaborate with night‑shift technologists, supervisors, and quality assurance staff to ensure seamless handoffs to the day shift.
  • Participate in nightly quality control checks, documenting any deviations and contributing to continuous improvement initiatives.
  • Maintain a clean, organized workstation that complies with biosafety and infection control protocols.
  • Assist in the development and refinement of standard operating procedures (SOPs) related to data entry and specimen handling.

Essential Qualifications

  • Education: High School Diploma or equivalent; additional coursework in medical terminology, health information management, or related fields is a plus.
  • Technical Skills: Proficient computer skills, including experience with Windows operating systems, Microsoft Office Suite, and familiarity with laboratory information systems.
  • Typing Speed: Minimum 8,000 keystrokes per hour with high accuracy.
  • Attention to Detail: Demonstrated ability to spot and correct data entry errors quickly.
  • Communication: Strong verbal and written communication skills; ability to convey information clearly to internal teams and external callers.
  • Compliance Awareness: Understanding of HIPAA privacy rules and a commitment to maintaining confidentiality.
  • Work Ethic: Ability to thrive in a fast‑paced, overnight environment while maintaining focus and productivity.

Preferred Qualifications

  • Previous experience in a clinical laboratory, hospital, or medical billing environment.
  • Certification such as Certified Medical Administrative Assistant (CMAA) or Certified Clinical Laboratory Technician (CMLT).
  • Experience with electronic health record (EHR) integration or other health IT platforms.
  • Knowledge of specimen types, labeling conventions, and basic laboratory workflows.
  • Demonstrated ability to work collaboratively in a multi‑disciplinary team.

Core Skills & Competencies

  • Data Integrity: Commitment to entering and maintaining error‑free information.
  • Problem‑Solving: Quick identification of discrepancies and proactive resolution.
  • Time Management: Efficiently balancing multiple tasks during the overnight shift.
  • Customer Service: Providing courteous, helpful assistance to callers and internal stakeholders.
  • Adaptability: Willingness to learn new processes, such as accessioning, and to adjust to evolving laboratory needs.
  • Team Orientation: Supporting colleagues and contributing to a positive, collaborative work environment.

Compensation, Benefits & Perks
