The Data Entry Clerk position is the backbone of our laboratory information flow. Key Responsibilities

  • Prepare source data for computer entry by compiling, sorting, and prioritizing information from laboratory samples, customer forms, and insurance documents.
  • Review incoming documents for completeness; resolve discrepancies using standard operating procedures or coordinate with the team leader for clarification.
  • Enter customer and insurance details into the arenaflex database after laboratory processing, ensuring 100 % accuracy in content and spelling.
  • Perform a double‑check of each entry, verifying that all fields are correctly populated and that the case is ready for downstream workflows.
  • Maintain data entry standards by adhering to established data program techniques, validation rules, and quality‑control checkpoints.
  • Validate incomplete or ambiguous information by contacting customers or clinics directly, documenting all communications in the system.
  • Protect patient privacy by handling Protected Health Information (PHI) in both paper and electronic formats in strict compliance with HIPAA regulations.
  • Report any required changes to policies, procedures, or system configurations to management promptly.
  • Prepare daily requisitions and filing bundles, ensuring that all paperwork is organized by case type and ready for archival.
  • Participate in ongoing training programs, including HIPAA/PHI privacy, general compliance, and security protocols, completing all mandatory modules within the first 30 days of employment.
  • Contribute to team initiatives, offering suggestions for process improvements and assisting colleagues with related tasks as needed.
  • Maintain a current status on arenaflex training requirements and certifications, updating records as new modules become available.

Essential Qualifications

  • High School Diploma or GED required; a Bachelor’s degree in Healthcare, Business, Marketing, or a related field is preferred.
  • Minimum of one (1) year of experience handling insurance documentation, preferably within a laboratory or clinical environment.
  • Exceptional attention to detail with a proven track record of achieving near‑perfect data accuracy.
  • Strong organizational skills and the ability to prioritize multiple data streams simultaneously.
  • Proficient typing speed (≥ 60 wpm) with high accuracy, and comfortable using standard office software (Microsoft Office, data entry platforms).
  • Demonstrated ability to maintain confidentiality and handle sensitive PHI in accordance with HIPAA standards.
  • Effective communication skills, both written and verbal, for interacting with customers, clinics, and internal teams.
