The Interim Leadership solution helps client organizations maintain strong leadership and lay future foundations during key executive position transitions. The Delivery and Operations Specialist enables our internal team to work collaboratively with candidates, Interim placements, and clients to ensure consistent, high-quality service. The Delivery and Operations Specialist is the central point of contact for Interim team members, clients, candidates, and placements. This position will provide logistical and operational support to coordinate all phases of Interim projects. Emphasis on process-driven tasks that require strong communication, technical skills, and the ability to both problem-solve and anticipate and address potential issues in advance. Work will be conducted in a remote environment. This position offers a base salary of $58,000 to $80,000, plus a target bonus of 5% of base salary. Salary within our ranges is determined by your education, experience, knowledge, skills, location, and abilities, as required by the role, as well as internal equity and alignment with market data. RESPONSIBILITIES Project Execution: Serve as point of contact to schedule client calls regarding new projects (discovery calls), candidate presentation calls, video interviews for candidates, candidate selection calls, and interim executive check-in calls. Assist in coordination of travel arrangements for the Interim team, candidates and Interim placements and work collaboratively with our 3rd party travel company. Serve as a liaison with HR and finance on opening and closing opportunities, holding jobs, and activating new projects. Review Interim placement time-worked submitted via Workday and signs off on interim executive invoices prior to them being distributed to the client. Generate draft contract agreements for interim projects to be sent out by Business Development team. Serve as a liaison between Business Development and contracting team for redline approvals via our IntelAgree contract management system. Send final contract to clients and candidates for signature once interim executive is confirmed. Serve as a point of contact for Interim placements, who are employees of WittKieffer, for a variety of administrative and operational issues including, but not limited to: initial set up of their Multifactor Authentication (MFA) expense management, time-worked, and 3rd party background screening. Partner with the client and Interim executive on any onboarding requirements to be completed prior to the start date: (1) Arrange appointments as needed, gather and summarize all information, and provide to client as requested, and (2) Ascertain the interim executive's first-day instructions and confirm same with the new hire. Ensure that all due diligence is completed and saved in our WittKieffer’s proprietary database before activating a new active job. Work with Practice leader on outstanding accounts receivable issues, by sending initial reminder notifications to clients for outstanding invoice payments. Reconcile monthly company credit card bills with interim executive and practice expenses. Team Collaboration and Communication: Maintain a high level of confidentiality regarding personal and employment data encountered on a regular basis. Escalate any concerns contrary to WittKieffer policies or standards practices as needed. Participate in regular team huddles to review all active and hold projects and opportunities to determine priorities, progress, and action items. Demonstrate professional communication skills verbally (in person and phone) and writing (correspondence, report writing, proofreading, email, proposals, etc.) with clients, candidates, and placements. Successfully collaborate across multiple departments, including research, IT, accounting, and HR, to ensure quality and timely project deliverables. Provide backup assistance and support to other team members when necessary. Document and Data Management: Create, edit, and proofread deliverables, including standard contracts and agreements and internal training documentation as it relates to your specialty area, in accordance with the firm's brand and compliance standards. Maintain up-to-date and accurate job search information in WittKieffer’s proprietary database. CANDIDATE PROFILE Qualifications: Bachelor's degree strongly preferred. Minimum of five years of executive administrative support experience if no degree, three years with degree. Critical Competencies: Exceptional verbal and written communication skills. Customer service mindset. Proofreading and editing experience with the ability to make recommendations for improvements. Witt/Kieffer Inc.
